Wrapping Up Meetings

Use a survey at the end to receive valuable feedback

Tip

At the end of a meeting, ask your attendees about how it went. Use this feedback to improve your preparation and facilitation skills.

No matter how bad we are at running meetings, if we continuously improve we will end up being better than most quickly. Gathering and applying feedback is the most helpful tool for our improvement. Therefore, it’s a good practice to conclude group meetings with a brief survey. That encourages attendees to share what worked well and what could be improved..

If you are using a collaboration platform, chances are that survey or polling features like the Polls app for MS Teams are available to you. Of course you can also use specialized web services like SurveyMonkey or Microsoft Forms which are designed for creating and managing feedback.

Below are some ideas for survey questions. Select no more than one or two and invite attendees to respond at the end of your meeting.

  1. Was this meeting valuable to you?
  2. Was the outcome useful to you?
  3. Did you get what you need to take the next step from the meeting?
  4. Was the meeting worth your time?
  5. Did we spend the right amount of time on XYZ?

If you want more detailed feedback, ask for it – but remember that too many questions can discourage attendees from answering.

For example:

  1. Did you have the information needed to prepare for the meeting?
  2. Did the agenda help you stay on track?
  3. Was the agenda too limiting?
  4. How well did the 1-2-4-All technique work for you?
